How Event Carbon handles enquiry information, Event Snapshot details and project data.
Information Event Carbon may collect
Event Carbon may collect your name, email address, organisation, event type, date, location, approximate guest numbers, event details, carbon preferences and any information you choose to provide through a website form, email, Event Snapshot, Assessment Data Workbook or related project communication.
For paid engagements, Event Carbon may also collect event activity data such as venue information, travel details, accommodation details, catering information, supplier details, carbon credit preferences and evidence needed to prepare a Carbon Assessment Report.
How information is used
Information is used to respond to enquiries, prepare indicative estimates, prepare proposals, define the event scope, collect assessment data, calculate the event carbon footprint, prepare reports and certificates, and support carbon route guidance where selected.
How long information is kept
Event Carbon keeps enquiry information, Event Snapshot details and project information for as long as reasonably needed to respond to the enquiry, prepare proposals, deliver the agreed service and maintain appropriate business records.
When information is no longer reasonably needed, Event Carbon will take reasonable steps to delete it or remove identifying details, unless the information needs to be kept for legal, accounting, insurance or business record purposes.
Service providers and sharing
Event Carbon does not sell personal information.
Information may be processed using appropriate business systems, including website forms, hosting, email, cloud storage, spreadsheets, documents and other professional service tools used to manage enquiries and deliver projects.
Where relevant to an agreed project, limited event information may be shared with carbon credit suppliers, registries, project developers or professional advisers to support carbon credit procurement, retirement evidence, certificate preparation or service delivery.
Where client, venue, supplier or attendee information is provided to Event Carbon, the client is responsible for making sure they have the right to share that information.
Information security
Event Carbon takes reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.
Access, correction and deletion
You can ask Event Carbon to provide access to, correct or delete information associated with your enquiry or project, subject to reasonable business record, legal and assessment evidence requirements.
Privacy law note
Event Carbon aims to handle personal information carefully and transparently.
Australian privacy law, including the Privacy Act 1988 and Australian Privacy Principles, may apply depending on business size, circumstances and the type of information handled.
